1. Introduction
Welcome to PAD Brands. This Territory Operations Manual has been developed to provide Territory Operators with the operational standards, business processes, technology requirements, and performance expectations necessary to successfully operate within the PAD Brands ecosystem. It serves as the primary operational guide for every Territory Operator and is designed to promote consistency, professionalism, efficiency, and an exceptional customer experience across every market we serve.
The success of PAD Brands depends upon every Territory Operator delivering a consistent customer experience while maintaining the operational standards that define our organization. Although each Territory is independently operated, customers should experience the same professionalism, responsiveness, quality, and service whether they engage with Eastwood Surfaces, ATS Tree Service, GreenDrop, or any future PAD Brands company. This Manual establishes those standards and should be referenced regularly as part of daily business operations.
This Manual supplements, and is incorporated by reference into, the Territory Operator Agreement. It is intended to provide operational guidance rather than replace the legal obligations contained within the Agreement. Because business practices, technology, regulations, and customer expectations continually evolve, PAD Brands reserves the right to revise, update, or replace any portion of this Manual at any time. Territory Operators are expected to remain familiar with the most current version and implement all required operational updates within the timeframes established by the Company.
2. Our Operating Philosophy
PAD Brands believes exceptional businesses are built through consistent execution rather than isolated moments of success. Every Territory Operator is entrusted with representing not only their local business but the reputation of the entire PAD Brands organization. Our objective is to provide entrepreneurs with the brands, technology, systems, training, and support necessary to build profitable, scalable businesses while delivering an outstanding customer experience.
Operational excellence is achieved through discipline, consistency, accountability, and continuous improvement. Every process—from the first customer inquiry to project completion and follow-up—should be executed with professionalism, transparency, and attention to detail. The Blue Banner™ technology platform provides the operational intelligence that enables Territory Operators to manage their businesses efficiently, but technology alone does not create success. Success is driven by people who consistently apply sound business practices, embrace innovation, and uphold the values of PAD Brands.
3. The Blue Banner™ Operating Platform
The Blue Banner™ is the official operating platform of PAD Brands and serves as the technology foundation upon which every Territory is managed. More than a customer relationship management system, The Blue Banner™ integrates sales, operations, marketing, customer communications, financial management, reporting, automation, artificial intelligence, and business intelligence into a single, unified platform. It was developed to provide Territory Operators with the tools necessary to build efficient, scalable, and profitable businesses while delivering an exceptional customer experience.
Every Territory Operator is expected to conduct the day-to-day management of their business within The Blue Banner™. Customer inquiries, estimates, scheduling, contracts, payments, marketing campaigns, customer communications, operational reporting, and performance metrics should be managed through the platform whenever practical. Consistent utilization of The Blue Banner™ enables PAD Brands to maintain operational consistency, improve customer service, support data-driven decision making, and continuously enhance the performance of every Territory.
The Blue Banner™ also provides PAD Brands with the operational intelligence necessary to support Territory Operators through real-time reporting, artificial intelligence, workflow automation, business analytics, and continuous platform improvements. As the platform evolves, new capabilities, enhancements, and features will be introduced to strengthen operational performance and improve the overall customer experience throughout the PAD Brands ecosystem.
The Blue Banner™ is proprietary technology owned exclusively by PAD Brands. Territory Operators are granted a limited license to utilize the platform solely for the operation of their authorized PAD Brands business in accordance with the Territory Operator Agreement, Company policies, and all applicable technology and security requirements. Unauthorized copying, modification, reverse engineering, disclosure, or use of the platform outside the PAD Brands ecosystem is strictly prohibited.
Because The Blue Banner™ serves as the operating system for the entire organization, every Territory Operator is expected to work within the platform daily. Accurate, timely, and complete information allows both the Territory Operator and PAD Brands to make informed decisions, improve operational efficiency, identify growth opportunities, and maintain the consistent standards that define every PAD Brands company.
Core Platform Modules
The Blue Banner™ consists of multiple integrated modules that work together to manage every stage of the customer journey and the day-to-day operation of each Territory. As additional capabilities are developed, these modules may be expanded or enhanced by PAD Brands.
Customer Relationship Management (CRM)
The CRM serves as the central repository for all customer and prospect information. Every customer interaction, communication, proposal, service history, note, document, and activity should be maintained within the CRM to ensure complete visibility throughout the customer lifecycle.
Lead Management
Every inquiry should be entered into The Blue Banner™ immediately upon receipt. The platform tracks lead sources, response times, communication history, qualification status, follow-up activities, and conversion metrics, helping Territory Operators maximize every sales opportunity while maintaining consistent customer engagement.
Scheduling & Dispatch
The scheduling module coordinates appointments, consultations, estimates, installations, service calls, crews, vehicles, equipment, and calendars through a centralized scheduling system. Efficient scheduling improves customer satisfaction while maximizing operational productivity and resource utilization.
Estimates & Proposals
All estimates and proposals should be prepared through The Blue Banner™ using approved pricing structures, templates, and documentation. Standardized estimating improves accuracy, professionalism, consistency, and customer confidence throughout the sales process.
Contracts & Electronic Signatures
Customer agreements, work authorizations, financing documents, change orders, warranties, and related documentation are managed electronically within the platform. Digital execution streamlines operations while creating secure, organized records for every project.
Payments & Financial Management
The Blue Banner™ supports invoicing, payment collection, deposits, financing, transaction tracking, and financial reporting. Integrating financial activities within the platform improves cash flow management, accounting accuracy, and overall operational visibility.
Marketing Automation
Marketing tools enable Territory Operators to manage email campaigns, text messaging, customer follow-up, promotions, referral programs, review requests, seasonal campaigns, and lead nurturing while maintaining consistent PAD Brands messaging and brand standards.
Reputation & Customer Reviews
Customer satisfaction remains one of the most valuable assets of every Territory. The Blue Banner™ assists Territory Operators in requesting customer reviews, monitoring online reputation, responding appropriately to customer feedback, and measuring overall customer satisfaction across multiple platforms.
AI Assistant
Artificial Intelligence is integrated throughout The Blue Banner™ to assist Territory Operators with routine administrative tasks, customer communications, scheduling optimization, lead follow-up recommendations, reporting, workflow automation, and operational insights. AI serves as a decision-support tool designed to improve efficiency while enhancing—not replacing—professional judgment and customer relationships.
Reporting & Business Intelligence
Comprehensive reporting provides real-time visibility into revenue, sales activity, lead conversion, operational efficiency, customer satisfaction, marketing performance, technician productivity, and other key performance indicators. These insights allow Territory Operators to make informed decisions that support long-term business growth.
Executive Dashboards
Personalized dashboards provide an immediate overview of business performance through real-time operational metrics, outstanding tasks, sales opportunities, financial performance, scheduling activity, customer communications, and operational priorities. Dashboards help Territory Operators focus on the activities that have the greatest impact on business success.
Mobile Application
The Blue Banner™ Mobile App extends the platform into the field, allowing Territory Operators and employees to manage customers, schedules, estimates, payments, communications, project updates, photographs, and operational tasks from virtually any location. Mobile connectivity ensures that information remains accurate and accessible throughout the workday.
Customer Portal
The Customer Portal provides customers with a convenient, secure, and transparent experience by allowing them to review estimates, execute contracts, monitor project progress, communicate with the Territory, make payments, access documents, and receive ongoing updates throughout the lifecycle of their relationship with PAD Brands.
Operating Standard
The Blue Banner™ is more than a technology platform—it is the operational backbone of PAD Brands. Every Territory Operator is expected to utilize the platform consistently as the primary system for managing customers, operations, marketing, financial activities, and business performance. The quality of information entered into The Blue Banner™ directly influences the quality of customer service, operational efficiency, strategic decision-making, and the long-term success of the entire PAD Brands ecosystem.
Simply stated, if a process is not managed within The Blue Banner™, it is not being managed to the operational standards established by PAD Brands. This commitment to a single, integrated operating platform enables every Territory to deliver a consistent customer experience while empowering PAD Brands to continually improve, innovate, and scale across every market we serve.
4. Daily Operations
The success of every PAD Brands Territory is built upon disciplined, consistent execution of daily activities. While each Territory will vary in size, staffing, and market conditions, the operational expectations established by PAD Brands remain consistent throughout the organization. Every Territory Operator is expected to begin each business day with a clear understanding of priorities, actively manage customer opportunities, respond promptly to inquiries, oversee scheduled work, monitor financial performance, and conclude each day with accurate operational reporting. Consistency in these daily disciplines improves customer satisfaction, increases profitability, strengthens operational efficiency, and reinforces the professional reputation of every PAD Brands company.
The Blue Banner™ serves as the primary operating platform for every Territory and should remain the central management system throughout the workday. Territory Operators should rely on the platform to monitor business activity, communicate with customers, manage employees and subcontractors, oversee active projects, review financial performance, and identify opportunities for continuous improvement. Every significant customer interaction, operational update, financial transaction, and project milestone should be accurately documented within the platform to ensure complete operational visibility.
Operational excellence is achieved through proactive management rather than reactive problem solving. Territory Operators are expected to anticipate customer needs, address issues before they become problems, maintain clear communication with customers and team members, and utilize the real-time insights provided by The Blue Banner™ to make informed business decisions throughout the day.
Morning Dashboard
Every business day should begin with a comprehensive review of The Blue Banner™ Dashboard. The dashboard provides Territory Operators with a real-time overview of business performance, allowing them to quickly identify priorities, allocate resources, and prepare for the day's activities. Beginning each day with this review promotes organization, accountability, and informed decision-making.
The morning review should include pending customer inquiries, scheduled appointments, active projects, outstanding estimates, unpaid invoices, employee and crew assignments, equipment availability, customer communications requiring attention, and any system alerts generated by The Blue Banner™. Territory Operators should also review key performance indicators, sales opportunities, follow-up reminders, and operational tasks requiring immediate action before beginning daily field or office operations.
Lead Response
Every customer inquiry represents a valuable opportunity to grow the business and strengthen the PAD Brands reputation. All leads should be entered into The Blue Banner™ immediately upon receipt, regardless of their source, including telephone calls, website submissions, online advertising, referrals, social media, community events, or direct customer inquiries.
Territory Operators are expected to respond to new leads as quickly as practical, recognizing that timely communication significantly increases customer confidence and conversion rates. Every interaction should be professional, courteous, and focused on understanding the customer's needs while establishing expectations for the next step in the sales process. All communications, appointments, notes, and customer preferences should be documented within The Blue Banner™ to maintain a complete customer history.
Sales Management
Sales activities should be managed consistently through The Blue Banner™ to ensure every opportunity receives appropriate attention. Territory Operators should actively monitor the sales pipeline, prepare professional estimates, schedule consultations promptly, follow up on outstanding proposals, and maintain regular communication with prospective customers throughout the decision-making process.
Every estimate should accurately reflect approved pricing, scope of work, and Company standards while presenting customers with clear, honest, and transparent information. Territory Operators are encouraged to focus on relationship building rather than high-pressure sales techniques, recognizing that trust, professionalism, and responsiveness remain the most effective tools for long-term business growth.
Scheduling & Resource Management
Efficient scheduling is essential to delivering an exceptional customer experience while maximizing productivity. The Blue Banner™ scheduling system should be utilized to coordinate customer appointments, consultations, installations, service visits, employee assignments, subcontractor activities, equipment utilization, and vehicle deployment.
Schedules should be reviewed throughout the day to accommodate customer requests, weather conditions, project delays, cancellations, or other operational changes. Whenever adjustments become necessary, customers should be notified promptly and provided with updated scheduling information. Effective scheduling minimizes downtime, improves communication, and allows each Territory to maximize operational capacity.
Job Management
Every active project should be managed from initiation through final completion within The Blue Banner™. Territory Operators are expected to monitor project progress, assign responsibilities, document milestones, maintain communication with customers, and ensure work is completed in accordance with PAD Brands quality standards.
Project records should include photographs, customer communications, contracts, change orders, material requirements, completion notes, warranties, and any other documentation necessary to provide a complete history of the work performed. Accurate project management supports operational efficiency while providing valuable information for future customer service and business analysis.
Collections & Financial Management
Healthy cash flow is essential to the long-term success of every Territory. Territory Operators should actively monitor invoices, deposits, financing approvals, payment schedules, outstanding balances, and customer payment activity through The Blue Banner™.
Invoices should be issued promptly upon completion of work or according to established payment schedules. Outstanding balances should be reviewed daily, and professional follow-up should occur whenever payments become overdue. Collection efforts should always be conducted respectfully while maintaining the positive customer relationships that distinguish PAD Brands. Accurate financial management enables Territory Operators to make informed decisions regarding staffing, purchasing, growth initiatives, and overall business performance.
Customer Follow-Up
The customer relationship does not conclude when a project is completed. Timely follow-up reinforces customer satisfaction, identifies opportunities for additional services, and encourages referrals and positive online reviews. Territory Operators are expected to maintain ongoing communication with customers after project completion through The Blue Banner™ using automated and personalized follow-up processes.
Follow-up activities may include confirming customer satisfaction, addressing outstanding questions, providing warranty information, requesting online reviews, offering maintenance recommendations, scheduling future services, and thanking customers for choosing a PAD Brands company. These ongoing relationships strengthen customer loyalty while supporting sustainable long-term growth.
Key Performance Indicators (KPIs)
The Blue Banner™ provides Territory Operators with comprehensive operational metrics that measure business performance in real time. These Key Performance Indicators enable informed decision-making, identify opportunities for improvement, and establish accountability throughout every Territory.
While individual performance goals may vary based upon market conditions and business maturity, Territory Operators are expected to regularly monitor indicators including lead response time, estimate conversion rate, sales volume, revenue growth, average project value, scheduling efficiency, customer satisfaction, online review ratings, accounts receivable, project completion times, marketing performance, and overall profitability.
Performance metrics should not be viewed solely as measurement tools but as strategic resources that support continuous improvement. Territory Operators who consistently review and act upon these insights are better positioned to improve customer service, increase operational efficiency, strengthen financial performance, and build sustainable businesses within the PAD Brands ecosystem.
Daily Operating Standard
Every successful Territory follows a consistent operating rhythm. Beginning each day with The Blue Banner™, responding quickly to customer opportunities, effectively managing active work, maintaining accurate financial records, and measuring performance through meaningful data are fundamental expectations of every PAD Brands Territory Operator. Operational discipline creates operational excellence, and operational excellence is the foundation upon which every successful PAD Brands business is built.
At PAD Brands, every day begins and ends in The Blue Banner™. It is the single source of truth for every customer, every project, every financial transaction, and every business decision, ensuring that every Territory operates with consistency, accountability, and excellence.
5. Sales Excellence
At PAD Brands, sales is not viewed as a transaction but as the beginning of a long-term customer relationship. Every interaction should build confidence, establish trust, and demonstrate the professionalism that distinguishes every PAD Brands company. Customers should never feel pressured to make a purchasing decision. Instead, they should feel informed, respected, and confident that they are working with an organization committed to delivering exceptional service and long-term value.
Sales excellence begins with preparation and consistency. Every lead should be managed through The Blue Banner™, every consultation should follow a structured process, every estimate should be professional and transparent, and every proposal should accurately communicate the value of the services being provided. Territory Operators are expected to utilize the systems, technology, and best practices established by PAD Brands to create a consistent customer experience regardless of location or brand.
Successful sales professionals focus first on understanding customer needs before recommending solutions. Listening carefully, asking thoughtful questions, identifying customer priorities, and educating customers throughout the decision-making process creates trust and results in stronger long-term relationships than high-pressure selling techniques. Every recommendation should be based upon what is genuinely in the customer's best interest.
The Consultation Process
Every customer consultation should be conducted professionally, punctually, and with a genuine desire to understand the customer's objectives. Territory Operators should arrive fully prepared, introduce themselves professionally, explain the consultation process, actively listen to the customer's concerns, and perform a thorough evaluation before discussing possible solutions.
Customers should receive clear explanations regarding available products, services, timelines, project expectations, and available options. Territory Operators should educate rather than persuade, allowing customers to make informed decisions based upon accurate information and transparent recommendations.
Estimating
Estimates should be prepared using The Blue Banner™ and follow the approved PAD Brands estimating standards. Every proposal should clearly define the scope of work, products or services to be provided, pricing, exclusions, estimated timelines, warranties, and payment expectations. Customers should never be surprised by hidden costs or unclear language.
Accurate estimating protects both the customer and the Territory Operator. Estimates should reflect realistic labor requirements, material costs, project complexity, scheduling considerations, and Company pricing standards while maintaining consistency throughout the PAD Brands network.
Pricing Standards
PAD Brands is committed to fair, transparent, and value-based pricing. Territory Operators should never intentionally underprice services simply to secure work or engage in deceptive pricing practices that mislead customers. Pricing should accurately reflect the quality of products, professional expertise, technology, customer support, warranties, and overall value delivered by PAD Brands.
Any discounts, promotional pricing, financing incentives, or special pricing programs should be offered only in accordance with Company policies and approved marketing initiatives. Maintaining pricing consistency strengthens the integrity of the PAD Brands network while protecting the value of every Territory.
Value Enhancement
Customers often benefit from additional products or services that improve the overall outcome of their project. Territory Operators are encouraged to educate customers about complementary products, maintenance services, upgrades, financing options, and future improvements whenever those recommendations provide genuine value.
Additional recommendations should always be based upon the customer's needs rather than sales quotas or pressure tactics. Long-term customer relationships are strengthened when customers believe recommendations are honest, practical, and focused on improving their overall experience rather than simply increasing the size of a transaction.
Financing
PAD Brands recognizes that financing solutions can make important projects more accessible for customers. Territory Operators should become familiar with approved financing programs and confidently explain available options while allowing customers to make independent financial decisions.
All financing discussions should be conducted honestly, professionally, and in compliance with applicable laws and lending requirements. Territory Operators should never misrepresent financing terms, approval likelihood, payment obligations, interest rates, or other material information. Transparency throughout the financing process reinforces customer confidence and protects the reputation of PAD Brands.
Closing the Sale
Closing a sale should be viewed as the natural conclusion of a well-managed consultation rather than a high-pressure event. Once customer questions have been answered and expectations clearly established, Territory Operators should confidently guide customers through the next steps, including contract execution, scheduling, payment arrangements, financing documentation, and project preparation.
Customers should conclude every sales interaction with a complete understanding of what will happen next, who will be responsible for communication, and how The Blue Banner™ Customer Portal will assist them throughout the project.
Customer Communication
Communication is one of the strongest predictors of customer satisfaction. Territory Operators should maintain regular communication before, during, and after every project through The Blue Banner™ using telephone calls, text messages, email, automated notifications, and personal follow-up as appropriate.
Customers should never wonder about project status, scheduling changes, delays, or next steps. Prompt, professional communication builds confidence, minimizes misunderstandings, and demonstrates the responsiveness expected of every PAD Brands company.
Sales Operating Standard
Every customer deserves a professional consultation, transparent pricing, thoughtful recommendations, and consistent communication. Sales excellence is measured not only by revenue generated but by the trust earned, the relationships established, and the long-term reputation built through every customer interaction. At PAD Brands, successful sales create satisfied customers who become repeat clients, enthusiastic advocates, and trusted referral sources for years to come.
6. Customer Experience Standards
The customer experience is the defining characteristic of every PAD Brands company. While products, services, and technologies may differ among our brands, every customer should receive the same exceptional level of professionalism, responsiveness, communication, and care. Every interaction contributes to the reputation of PAD Brands and influences whether customers return, recommend our services to others, or become long-term advocates of our brands.
Customer experience extends far beyond the completion of a project. It begins with the first telephone call, website inquiry, or online interaction and continues through consultation, scheduling, project execution, follow-up communication, warranty support, and future service opportunities. Every employee, Territory Operator, and representative of PAD Brands shares responsibility for delivering an experience that consistently exceeds customer expectations.
Professionalism, courtesy, responsiveness, reliability, and clear communication should define every customer interaction. Customers should always feel respected, informed, valued, and confident that PAD Brands is committed to delivering outstanding service at every stage of their experience.
Telephone Standards
The telephone is often a customer's first direct interaction with PAD Brands. Every call should be answered promptly, professionally, and courteously. Representatives should identify themselves and the Company, listen attentively, speak clearly, and focus on understanding the customer's needs before offering solutions.
When immediate assistance is unavailable, customers should receive timely callbacks, accurate information, and realistic expectations regarding response times. Missed calls and voicemail messages should be returned promptly, demonstrating our commitment to responsiveness and customer care.
Email Communication
Email communications should be professional, accurate, and timely. Messages should use approved Company branding, proper grammar, and a courteous tone while providing customers with clear and complete information. Emails should be acknowledged promptly, even when a complete response requires additional time.
Customers should never be left uncertain about project status, scheduling, or requested information due to delayed communication.
Text Messaging
Text messaging provides customers with convenient and efficient communication throughout the sales and service process. Messages should remain professional, concise, and appropriate for business purposes. Texts are particularly effective for appointment confirmations, arrival notifications, scheduling updates, payment reminders, and brief customer questions.
Territory Operators should respect customer communication preferences and avoid excessive or unnecessary messaging.
Scheduling Expectations
Customers value reliability. Appointments should be scheduled accurately and confirmed in advance through The Blue Banner™. Whenever scheduling changes become necessary, customers should be notified as early as possible and provided with revised expectations.
Maintaining dependable scheduling demonstrates respect for the customer's time and reinforces the professionalism associated with PAD Brands.
Arrival Standards
First impressions matter. Employees and Territory Operators should arrive on time, in clean branded attire, operating well-maintained vehicles, and prepared to perform the scheduled work. Upon arrival, representatives should introduce themselves, confirm the scope of work, explain the day's activities, and answer any remaining customer questions before work begins.
Professional appearance, punctuality, and respectful interaction establish confidence before any work is performed.
Professional Appearance
Every representative of PAD Brands reflects the Company's reputation. Clothing should be clean, appropriate, and branded whenever required. Personal grooming should reflect a professional business environment, and vehicles, trailers, tools, and equipment should remain clean, organized, and well maintained.
Customers should immediately recognize that they are working with a professional organization committed to quality and attention to detail.
Job Completion
Projects should be completed in accordance with Company standards, applicable codes, contractual obligations, and customer expectations. Upon completion, representatives should review the finished work with the customer, answer questions, explain warranties or maintenance recommendations, confirm customer satisfaction, and ensure the work area has been cleaned and restored appropriately.
A successful project concludes only when the customer understands the completed work and feels confident in the quality of the services provided.
Customer Follow-Up
Every completed project should include proactive follow-up. Territory Operators should contact customers after completion to verify satisfaction, answer questions, address concerns, provide maintenance recommendations where appropriate, and thank customers for choosing a PAD Brands company.
Consistent follow-up demonstrates professionalism while creating opportunities for repeat business, referrals, additional services, and long-term customer relationships.
Online Reviews & Reputation Management
Customer reviews are among the most valuable indicators of service quality and play a significant role in the growth of every Territory. Satisfied customers should be encouraged to share honest feedback through approved review platforms following project completion.
Territory Operators should actively monitor their online reputation and respond professionally to customer feedback in accordance with PAD Brands guidelines. Positive reviews should be acknowledged with appreciation, while constructive feedback should be viewed as an opportunity to improve. Responses to negative reviews should remain courteous, solution-oriented, and professional, reflecting the values and standards of PAD Brands.
Complaint Resolution
Occasionally, concerns or misunderstandings may arise despite our commitment to excellence. When they do, Territory Operators should respond promptly, listen carefully, communicate respectfully, and work diligently toward a fair and timely resolution. Customers should feel heard, respected, and confident that PAD Brands is committed to resolving issues professionally.
Whenever possible, concerns should be addressed at the Territory level before escalation becomes necessary. However, when additional assistance is required, Territory Operators should engage PAD Brands leadership promptly to ensure consistent handling and protect the reputation of the Company. Every complaint should be viewed as an opportunity to strengthen customer relationships, improve operational performance, and reinforce our commitment to service excellence.
Customer Experience Standard
At PAD Brands, every interaction matters. The way we answer the phone, respond to emails, communicate during a project, arrive at a customer's property, complete our work, and follow up afterward defines who we are as an organization. Outstanding customer experiences are not created by chance—they are the result of consistent standards, disciplined execution, and a genuine commitment to serving others with professionalism, integrity, and excellence. Every customer should finish their experience believing they made the right decision by choosing a PAD Brands company.

All advertising, promotional campaigns, websites, printed materials, digital communications, and community outreach efforts should comply with Company guidelines and applicable laws.
Territory Operators are encouraged to actively market within their approved Territories while maintaining consistency with the overall PAD Brands identity. Marketing success is achieved through credibility, quality, and community engagement rather than exaggerated claims or misleading advertising.
